Master File Analysis
M&A utilizes state of the art software to analyze your vendor master file. We check all address fields for completeness and accuracy, utilize algorithms to analyze similarities on address fields that would not be captured in a straight duplicate search, and consolidate vendors into groups for reporting purposes. Further, as stated below in our fraud analysis service, M&A will compare the vendor master file to the payroll file to identify potentially fictitious vendors, or employees who may also be vendors. This includes comparing files to identify common addresses and federal identification numbers.
Debit Balance Management
As with contract compliance, debit balance management is a standard part of our accounts payable audit. In the Analysis and Identification phase of the audit, M&A will identify all vendors having debit balances. We will assemble a complete documentation package to include relevant source documentation and verification from your vendor in support of the respective debit balances and recover funds owed due to the overpayments or under deductions.
Credit Balance Clean-Up
M&A assists their Clients in reducing aged Accounts Payable liabilities. M&A performs detailed analysis and positive confirmation procedures on invoices that are aged greater than 120 days. The detailed analysis and confirmation procedures will focus on legally reducing these liabilities by proving they are not due to the Company’s vendors.
Duplicate Payment Prevention Program
This service assists our Clients, by creating customized reporting tools, in catching duplicate payments before sending a check or processing an EFT. M&A personnel will assist the Client’s Accounts Payable and IT departments in setting up a system to integrate their existing accounting systems with M&A’s off-the-shelf software, assist with the implementation of daily and weekly procedures and creation of useful management reports.
